Change Engagement Status from Draft to In-Progress
When creating an engagement, you can choose when the Client User will have access to the engagement.
Creating a draft engagement allows the Firm User to set up the engagement i.e., add users and prepare a request list before giving the client access.
Once an engagement’s status is In-Progress, the engagement will appear on both the Client and Firm Users dashboard and notifications will start based on user preferences.
Firm Users may choose one of the following options when they want an engagement’s status to change from Draft to In-Progress:
- Immediately: The default setting, clients will have access to the engagement right away.
- Later: Deactivates the automation and you can manually update the engagement to In-Progress when you are ready.
- On a specific date: Engagement will automatically change to In-Progress on the selected date, making it appear on Client Users dashboard and starting notifications based on Client User preference. Until that date, only Firm Users can see the engagement.
Mark Engagement Complete
Marking an Engagement as Complete is the final step in the engagement lifecycle and fulfils several important functions:
- Stops email notifications
- Removes Client Users access
- Removes the engagement from the Client and Firm User dashboards
- Moves the engagement to the All Engagements archive, where it can be Rolled Forward, Re-Opened as read-only, or changed back to In-Progress
Either when creating an engagement or editing an engagement, Firm Users can decide how they’d prefer to Mark their Engagement Complete, options include:
- Later: The default, allowing you to manually change the engagement status to Complete when you’.
-
Automatically: Stops notifications and restricts access after all information is accepted and there’s no activity in the engagement. Specifically, the following criteria is used to denote engagements that fall into this category:
- At least 2 requests in the engagement
- 99% of requests submitted or accepted with no Firm or Client activity for more than 30 days
- 90% of requests submitted or accepted with no Firm or Client activity for more than 75 days
- 75% of requests submitted or accepted with no Firm or Client activity for more than 200 days
- On a specific date: Automatically moves the engagement from In-Progress to Complete on a selected future date.
Move Completed Engagements to Trash
Engagements marked as Complete can be automatically moved to trash after set number of days. The system uses the Modified Date of an engagement to determine when it should be moved to trash. This date updates if an engagement is reopened or edited.
For example, if your portal is configured to trash items after 365 days, any completed item that hasn’t been modified in over 365 days will be moved to the trash.
This is a portal wide configuration, to enable this feature, contact your Customer Success Director or email support@auditdashboard.com.
