Draft and In-Progress Engagements
Prior to January 2024, any engagement that had clients added would be visible on those clients’ dashboards.
Effective January 20, 2024, the platform has been updated so that a new engagement (in the "Draft" status) will not be visible on the client's dashboard. This allows firm professionals to draft engagements, add firm and client users, and prepare the request list without having the engagement accessible by the client.
Only when the engagement status is In-Progress does it appear on the client’s dashboard.
When an engagement is created, the default status is now In-Progress. This means that, like before, an engagement with clients will be visible on the client’s dashboard, and they will receive notifications for their requests.
Effective January 2024, users can select when an engagement’s status will change from Draft to In-Progress.
There are three options available:
- Immediately. This is the default behaviour and mimics the functionality of engagements prior to the release.
- Later. This deactivates the automation, and engagements will need to be manually updated by editing engagement details when users are ready to start notifying clients.
- On a specific date. The engagement can automatically be set to go from Draft to In-Progress at any date after the creation date. This engagement will appear on client user dashboards on the specified date, and notifications will start. Until then, the engagement will be visible to firm users.
Mark Engagement Complete
Background: Marking engagements Complete fulfils several important functions:
- Email notifications will stop
- Client access to the engagement is removed
- Completed engagements will not appear on anyone’s Dashboard
- Moves the engagement to the All Engagements archive, where it can be Rolled Forward, Re-Opened as a read-only engagement, or changed back to In Progress
With this new Automation, engagements can automatically move from In Progress to Complete.
There are three options available:
- Later. The default behaviour is to stop all notifications and restrict access by marking the engagement Complete later, when you’re ready (e.g. after accepting all submitted information) by editing engagement details and manually changing the engagement status from ‘In Progress’ to ‘Complete’.
- Automatically. Stops all notifications and restricts access after all information is accepted and there’s no activity in the engagement.
Specifically, the following criteria is used to denote engagements that fall into this category:
- At least 2 requests in the engagement, and:
- More than 99% client progress with more than 30 days without any firm or client activity
- More than 90% client progress with more than 75 days without any firm or client activity
- More than 75% client progress with more than 200 days with no firm or client activity
- On a specific date. The engagement can automatically be set to go from In-Progress to Complete at any future date.
